Overview
In this article, we'll detail how Aline Revenue's Real Time Ledger functionality assists with your community's revenue operation by utilizing real-time billing, proposed ledger views, and more.
Real-time billing: ability to forecast and immediately process invoices (charges) directly to the resident account ledger. This includes, but is not limited to, a move-in, move-out, care to billing variance, room change, primary or ancillary care change, other billing, revenue workflow, and supplemental payor events.
Users will no longer be required to review and manually approve one-time or monthly charges prior to them processing directly to the resident ledger. Instead, these charges will be process automatically and instantly if the charge is scheduled for the current accounting period. Charges levied for subsequent months will automatically process to the resident ledger as soon as the accounting period for the charge begins.
Examples of Real Time Ledger in Action
1: Resident Move Ins
As seen in the example above, a proposed ledger view will display when moving a resident in. The ledger view will display any recurring monthly charges along with any one-time charges. Prorated items, like room & board and care services will automatically charge the prorated amount based on the resident's financial start date.
For example, instead of charging the resident the full room rate of $4,068.75, Aline Revenue's real time billing engine is calculating the cost at $1,872.74 as the resident will only be paying for July 18th through July 31st and not for the full month. Items that are not configured to be prorated, like the Community Fee and Pet Fee listed above, will charge for the full amount.

It's vital that the charges are thoroughly reviewed prior to processing the move in as the charges will automatically process into the resident's ledger without any further review or approval needed. A PDF of the proposed ledger can also be exported out of Aline Revenue by selecting the PDF icon highlighted in the photo above.
2: Resident Move Outs
Similar to resident Move Ins, resident Move Outs will also include a proposed ledger view like the example above. In addition, any recurring other billing items effected by the move out will display Action Messages. For example, since the resident will not be finishing their lease, the remaining other billing charges for the telephone services that were future dated will not be processed and the entry will be deleted.
In the Proposed Charges category, both the full amount for room & board and monthly care services are being reserved. Moreover, a corrected amount from the start of the month to the move out date / bill to date has been charged instead. For example, the full room charge of $2,980.00 has been reversed and a corrected charge July 1st through July 18th has been charged at $1,763.51.
The proposed ledger view can again be exported from Aline Revenue by selecting the PDF icon. It's also vital that the proposed charges are thoroughly reviewed prior to processing the move out as no further review and approval of the charges are required before they are processed to the resident ledger.
3: Room & Room Rate Changes

Room and Room Rate Changes will also incorporate Real Time Billing and the proposed ledger view. In the above example, a resident is being transferred to a different room with a higher monthly rate. The change has been set to take effect on July 18th. As you can see above, the full room rate for the original room ($2,980.00) has been reversed and recharged for July 1st through July 17th at $1,665.53. Additionally, the new room rate has been charged and automatically prorated for July 18th through July 31st at $2,496.99.
In all, this room transfer to a room with a higher rate will be adding $1,182.52 to the resident's bill as seen in the Proposed Charges calculation total noted here:

4: Primary Care / Ancillary Care Changes

Changes to a resident's Primary Care or Ancillary Care will also utilize Real Time Billing and the Proposed Ledger view. As seen above, the resident will be changing from Primary Care Level 1 to Primary Care Level 6 on July 15th. As such, the resident's bill will be increasing by a total of $1,533.47.
We can see the detailed charges below where Aline Revenue is reversing the bill for the full month's care charge ($545.00) and correctly billing Primary Care Level 1 for July 1st through July 14th at $250.85. Additionally, Primary Care Level 6 will be charged to the resident for July 15th through July 31st at $1,827.62.
As with the other functionalities, the Proposed Ledger View can again be exported from Aline Revenue by selecting the PDF icon. It's also vital that the proposed charges are thoroughly reviewed prior to processing the care change as no further review and approval of the charges are required before they are processed to the resident ledger.
4: Other Billing
While Other Billing will not include a Proposed Ledger View like the previous functionalities, Other Billing has still be upgraded thanks to Real Time Billing. Now, based off of the Effective Date attached to the Other Billing item, entries with an Effective Date in the current accounting period will automatically process to the resident's ledger.

In the above example, two new one-time Other Billing items were added - a Guest Room charge dated for July 18th and a Pet Deposit for an upcoming pet move in dated for August 1st. Because the Guest Room was charged for the current accounting period, the Other Billing Charge has automatically processed and is already available to view on the Resident's Ledger (see below). Because the Pet Deposit was charged for the next accounting period, it has not automatically processed, but will do so once the next accounting period begins.

Additional functions will also use the Real Time Billing engine and Proposed Ledger view like Respite to Resident Conversions, Assessed VS Billed Care Variances, and Supplemental Payor Events.
